Codegate to Showcase New Incident Reporting Tool for Fleet Managers

7 Feb 11 Understanding the challenge faced both by fleet managers and drivers when recording and dealing with all kinds of road incidents, Codegate has developed an Incident Reporting Tool.

The new application reduces the time fleet managers have to spend wrestling with the necessary administration around incident reports and crucially, in today’s harsh business climate, can help to reduce insurance premiums. 

“Our new Incident Reporting Tool allows drivers to quickly, easily and accurately record any kind of road incident from an accident to an inspection from The Vehicle and Operator Services Agency (VOSA),” explained Terran Churcher, Codegate’s Chairman.  “The form orientated software, running on a hand held computer, prompts the driver to enter all the required data surrounding the incident.”

During discussions with its client and an insurance company, Codegate discovered that organisations operating fleets of vehicles face two common problems surrounding incident reporting. 

“Firstly, drivers often take considerable time before reporting an incident, unless it is an accident which results in the vehicle being unable to be driven,” continued Churcher.  “The quicker, accurate and detailed reporting of an incident/accident is submitted to your insurance company, the quicker the facts can be established and the claim settled, reducing administration costs for both your organisation and the insurance company.  This reduced administration can result in savings being passed on by way of lower premiums.”

“Secondly, if the road incident covers a VOSA inspection, the driver may not report why the vehicle was stopped, or what actions were concluded, leaving fleet managers ill informed,” added Churcher.  “Plotting the history of VOSA actions and recommendations can highlight training or health and safety needs, helping to establish best practice corporate duty of care.”

Codegate’s Incident Reporting Tool is a mobile application which can be integrated with Codegate’s mobileworker software, enabling organisations to monitor, measure and manage people on the move, or it can be deployed as a stand-alone solution.

When a road incident occurs, the Incident Reporting Tool prompts the driver to enter all of the necessary details surrounding the incident, such as:  third party details, third party vehicle details, third party insurance details and witness details, via the menu screen of the hand held mobile computer details.

Using the imaging functionality of today’s mobile devices, it is possible to take a picture of the incident which can then be attached to the report.  GPS data, showing the exact location of the incident and the approach route taken by the vehicle, can be automatically added to the report which is sent immediately to the fleet manager enabling the appropriate reaction plan to be set in motion.

“Our development of the new Incident Reporting Tool fits perfectly with our existing mobile solutions and is simply a further extension of our objective to help organisations with a mobile workforce to monitor, measure and manage people on the move.  As economic conditions continue to toughen, this ability has never been so important,” concluded Churcher.
