This Technical Description concerns the supply of a software solution for CERN’s car sharing service and car fleet management.
The estimated value of the activity is 750k – 5M CHF

II.2.4) Description of the procurement
Description of the Procurement: The required software includes:
• A car fleet management software that oversees the operation and maintenance of a group of
vehicles owned by CERN, optimizing efficiency, tracking maintenance schedules, and
monitoring vehicle usage and performance;
• A car sharing software that facilitates the rental of vehicles for short periods, enabling users
to access vehicles on-demand and pay (or not) for usage based on time or distance through a
customer application.
The Supply shall include the following technical deliverables and activities:
• Software licences for approximately 600 vehicles and 1 700 users;
• Configuration, installation, test and launch of the car fleet management and car sharing
software;
• A technical back-office service for daily business (technical issues, statistics);
• Software maintenance, updates and upgrades;
• Training of the CERN personnel;
• If needed for installation at CERN, equipment embedded in the vehicles to host the software;
• For the car sharing software, a customer care service (complaints, improvement requests).

Deliveries are currently foreseen over the next years, according to the schedule of the various projects.
Variants may be considered through discussion with CERN at the Market Survey stage.
Options may be considered through discussion with CERN at the Market Survey stage.
CERN is funded by a consortium of global nations and also receives funds from EU sources. It is an NGO (Non-Governmental Organisation) and therefore is not directly subject to EU regulations. This contract is not expected to be bound to any specific EU rules.
Please note that even though the ‘official’ stated deadline on the market survey has passed, the contract remains open until the Invitation to Tender is issued. A Market Survey is merely an expression of interest and does not in any way constitute a commitment to bid.
